AUCKLAND UNISERVICES LIMITED (UNISERVICES) PRIVACY POLICY
1 Introduction
Auckland UniServices Limited (UniServices) is the wholly-owned subsidiary of the University of Auckland (University).
This Privacy Policy sets out generally how UniServices collects, uses, stores and discloses personal information when you browse the Website, subscribe to our newsletter or otherwise contact us via the Website.
We may include more details of how we handle personal information for each of our specific services in additional privacy policies or statements and/or information provided to you in connection with that service (e.g. those associated with our Impact Services).
Where we manage or operate programmes or other activities in collaboration with the University, information may be shared with the University. See the University’s privacy policy for how it handles personal information.
2 Changes to this Privacy Policy
From time to time, we review and may update this Privacy Policy. Updates are uploaded to the Website and take effect from that date.
It is your responsibility to ensure that you are aware of the most recent version of this Privacy Policy.

3 Definitions
a personal information has the meaning given under the Privacy Act. Generally, it means information about an identifiable individual.
b Privacy Act means the Privacy Act 2020 or any replacement legislation.
c Privacy Policy means this UniServices Privacy Policy, as updated from time to time.
d UniServices means Auckland UniServices Limited, a New Zealand company of Level 10, 49 Symonds Street, Auckland, company number 373821.
e University means the University of Auckland, a university constituted under the University of Auckland Act 1961 and a tertiary education provider under the Education and Training Act 2020, of 22 Princes Street, Auckland, New Zealand.
f Website means www.uniservices.co.nz.
4 Collection and Use of Personal Information
We collect and use personal information collected via the Website for the following purposes:
a to correspond with you where you have contacted us, e.g. to respond to a query you have submitted to us via a form on the Website;
b in collaboration with you, for our Investment team activities as further described in Protect your idea - UniServices, where you have submitted an idea disclosure form to us;
c marketing and related purposes, as set out below in clause 9;
d through the use of cookies and similar tools for analytical purposes, as set out below in clause 10; and
e other reasons permitted under the Privacy Act.
5 Disclosure of Personal Information
a As the wholly-owned subsidiary of the University, and in occupying some sites within the University campus, UniServices and the University share some resources, for example IT systems. We may share personal information with the University in the course of using these shared resources, as reasonably required to enable us to fulfil the purposes set out in this Privacy Policy.
b We also share information with our third-party service providers, as set out in clause 6.
6 Storage and Security of Personal Information
a We take reasonable security safeguards to ensure that your personal information is protected against unauthorised loss, access, use, modification, disclosure and other misuse, but it is not possible to guard against every risk of misuse.
b We use trusted third party providers to provide and maintain our IT systems, to store information and/or to use their applications and other tools for our purposes, including to send electronic communications as set out in this policy.
c We use IT resources shared with the University, as set out above in clause 5a. The University’s privacy policy has more information on how it stores and protects personal information.
d We store personal information only for as long as we need it or are required by law to keep it, including the requirement to retain information in accordance with the Public Records Act 2005.
7 Keeping Your Information Up-to-date
It is important that any contact details we hold about you are kept up-to-date. For example, we may need to contact you promptly if we suffer a security event such as unauthorised access or disclosure of your personal information. Please let us know if your contact details change by contacting us at communications@uniservices.co.nz or reception@uniservices.co.nz.
8 Marketing
a We do not sell your personal information to third parties for their marketing or other purposes.
b Where you have subscribed to our newsletter, we will from time to time send you information about our activities, services and events including those of our third party partners, by email. You have the right to unsubscribe from those communications.
9 Cookies and Website Use
a We use cookies and similar digital tracking tools to help remember users and monitor how they interact with our Website. Cookies are very small text files that are sent to your browser or device from our web server and stored on your computer/device hard drive. The text file is sent back to the server each time the browser requests a page from the server.
b Cookies do not damage files, nor can they read information from the hard drive of a computer. You can disable the acceptance of cookies by adjusting the settings in your web browser, although this may restrict your ability to access some areas of our Website.
c When you visit and access our Website, the server typically collects:
i your browser's internet address;
ii your server's address;
iii your domain name;
iv your IP address;
v the date and time of your visit to the site;
vi the pages you accessed and documents downloaded;
vii the previous site visited;
viii the type of browser you are using; and
ix the username entered if accessing a restricted site.
d We may use this information:
i to authenticate users and for system administration tasks to maintain and operate the Website;
ii to remember user preferences and to customise your user experience, including by personalising the content of any advertising on the Website in relation to information about our activities, services and events including those of our third party partners; and
iii for statistical purposes to determine website traffic and trends.
e We use Google Analytics to help us analyse and use information in these ways. The Google Privacy Policy sets out more about how this information is analysed and used.
10 Your Rights to Access and Request Correction of Personal Information
You can:
a ask us to confirm what personal information we hold about you;
b request access to and correction of your personal information; and
c provide us with a statement of correction to attach to your personal information if we choose not to correct your personal information.

a clearly state your request and that it relates to information collected via the Website;
b tell us who you are and provide reasonable evidence of your identity if we ask; and
c tell us if (and why) your request is urgent.
